1. INTRODUCTION
Smoothcomp AB (“Smoothcomp”, “we”, “us” or “our”) provides digital services that enable athletes, coaches, academies, federations and competition organisers in the martial arts community to manage profiles, memberships, registrations, competitions, results and related communications. We respect your privacy and are committed to protecting the personal data we process about you. All processing of personal data is carried out in accordance with applicable data protection legislation, including Regulation (EU) 2016/679 (the “GDPR”).
Depending on how you interact with Smoothcomp, the processing of your personal data may differ. This notice applies when you (i) use our applications for creating or using a Smoothcomp account, register for or participate in a competition, act as a coach, academy or federation representative, organise a competition, (ii) visit our website or other digital channels, or (iii) otherwise communicate with us or receive marketing from us.
This privacy notice also applies if you are under the age of 13. If you are under the age of 13 you can ask your parent or guardian if you have any questions related to our processing of personal data.
2. WHO IS THE DATA CONTROLLER FOR THE PROCESSING OF YOUR PERSONAL DATA?
Smoothcomp is the data controller for the processing of your personal data described in this privacy notice, except where another organisation, such as a competition organiser, academy or federation, independently determines how and why your data is processed. If you have questions or wish to exercise your rights, please contact us using the details below.

Official competition organisers, academies and federations may also determine their own purposes of processing personal data through the Smoothcomp platform, including information requested through configurable registration fields. Where they determine the purposes and means of that processing, they act as separate data controllers and are responsible for their processing of your personal data, including providing any additional privacy information that applies to their processing.
3. HOW DO WE COLLECT YOUR PERSONAL DATA?
We collect your personal data from:
- Yourself, when you create or update an account, register for an event, use our applications, whether you are a private individual or representative of an official academy, federation or competition organiser, contact us or choose to connect an external service.
- Official competition organisers, coaches, federations, and academies, when they add, update or administer information connected to your participation in their competition or academy membership which is reflected in your profiles.
- Users, when they create and manage events, academies, competitions, etc., or when they link content that includes your personal data.
- Your browser and device, technical, usage, app, location and communication information generated when you use Smoothcomp, including through cookies, web beacons, software development kits and similar technologies when you visit or use our website or applications.
- Third-party integrated services, including app stores, payment providers, social-media services, where you use the relevant integration.
- Public sources and other users, where information is lawfully made available or submitted in connection with competition participation, results, academy affiliations or user-generated content.
WHAT PERSONAL DATA DO WE COLLECT AND FOR WHICH PURPOSES?
4. USERS OF SMOOTHCOMP’S APPLICATION AND SERVICES
4.1 MANAGE YOUR SMOOTHCOMP ACCOUNT AND ACCESS TO OUR APPLICATION AND SERVICES
Your personal data is processed by us for the purpose of managing user accounts, e.g. to authenticate logins, administer your subscription (as applicable), handle onboarding and offboarding of user accounts and allow you to access and use our applications or services, and related features (such as creating a profile, adding content to your profile, etc.) including to send out service messages and handle support matters relating to our applications and services. We also process your data to send out reminders for events and competitions if you have allowed this on your device.

4.2 VIEW, REGISTER FOR AND PARTICIPATE IN EVENTS, COMPETITIONS AND ACADEMIES
We process information linked to your account to enable you to view and find competitions, events and academies, register, select categories, confirm eligibility, communicate with organisers and participate in competitions, through your use of the functionalities made available by us.
Please note that the competition organiser or academy is the data controller for processing of your personal data relating to your actual registration and participation in an official competition or academy and for your other interactions with the competition or academy.

4.3 CREATE AND MANAGE ACADEMIES, EVENTS, COMPETITION PARTICIPATION AND COACH FUNCTIONS
We process personal data to enable you to create and manage events, academies, memberships, registrations, including in relation to competitions (such as adding or inviting athletes to your academy, facilitating data sharing between users, registering your academy for competitions and events, etc.). We also process data to allow coaches to manage their athletes during for example competitions and events. For this purpose, we also process personal data about you as an athlete that your coach or other users provide in relation to you, such as when creating an academy.

4.4 MAINTAIN ATHLETE PROFILES, RANKINGS AND COMPETITION HISTORY
As part of the functionalities, and value added services, provided through our application and services, we process sports and competition information to display profiles, affiliations, registrations, brackets, match records, rankings, statistics and historical results, as you may choose to link to your account, or to the extent other individuals link such results that include you. Depending on your privacy settings and the nature of the event, some information may be publicly visible and indexed by search engines.
Please note that the official registrations, brackets, match records, rankings, statistics and historical results, administered by the relevant official organiser, federation, academy, etc., are processed by them in their capacity as respective data controllers.

4.5 PROVIDE LOCATION-BASED APP FUNCTIONS
Where you enable location permissions on your device, we may process GPS or similar location information to provide relevant app functions, such as location-aware competition or venue information.

4.6 ADMINISTER PAYMENTS
Where payments are made through or in connection with Smoothcomp, for example if you choose the paid subscription, we process certain information to verify your payment and to maintain accounting records and comply with mandatory legal requirements.
Please note that when payments are made through a payment service provider, as made available in our applications, such payment service provider also processes your personal data as an independent and separate data controller.

4.7 CONNECT YOUTUBE, SOCIAL-MEDIA AND OTHER THIRD-PARTY SERVICES
Where you choose to connect an external account, we process information needed to technically set up and maintain the integration to enable the integrated features, such as live streaming through YouTube and other social media and third-party services.

4.8 ENABLE YOU TO USE YOUR SMOOTHCOMP ACCOUNT TO LOG IN TO THIRD-PARTY SERVICES
If you choose to use your Smoothcomp account to get access to and log in to services provided by third parties (e.g. group companies of Smoothcomp), we will share necessary account information to enable the login to such third party’s service. The third party is a data controller for its processing of your account information when you utilise such third party’s services.

4.9 ENABLE ACADEMY AND SMOOTHCOMP ACCOUNT LINKING WITH A THIRD-PARTY ACCOUNT
If your academy, coach or federation chooses to link your academy or club and share your contact information as a member, to a service that is provided by a third party, we will share the necessary contact or account information with the relevant third party to enable the account linking. Such third party may also use your personal data to verify whether you have an account with that service and inform you of the account linking initiated by your academy, coach or federation.
If you choose to link your own Smoothcomp account to a third-party account, we will share the account information necessary to enable the requested account linking.

Based on your account information and use of our applications and services, we may send newsletters, offers, event suggestions, surveys and other marketing and communication related to Smoothcomp or selected third parties.

We collect information about your use of our services which we aggregate to perform data analysis to develop our products and services, and to gain better insights and improve and optimise our services. The data collected relates to the features you use, actions you take, the dates and times of access, the amount of time spent within the services and types and volumes of queries you submit.

We process personal data as needed to ensure network and information security in connection with providing our applications and services. This also includes monitoring and investigating suspicious behaviour, protecting accounts and systems, enforcing our acceptable-use rules and protecting the rights, property and safety of Smoothcomp, users and third parties.

5.1 ADMINISTER THE RELATIONSHIP WITH THE OFFICIAL ORGANISER, FEDERATION, OR ACADEMY, YOU ARE REPRESENTING
Your personal data in your capacity as a representative of a business customer or partner to us will be processed because we have a legitimate interest in administering the relationship with our paying customers, suppliers and partners, and to be able to manage the overall cooperation and day-to-day activities. This also includes processing within the scope of the negotiation and execution of our commercial and legal agreements.

We will process your contact information for reference purposes when we are either issuing invoices to or receiving invoices from the company that you represent, as your contact information may be visible on the invoices (depending on whether the organisation you represent has named you as an invoice reference or not).

Where necessary to achieve the purposes described above, we share personal data with trusted recipients and only to the extent necessary. Some profile, registration, brackets, schedule, ranking and result information may also be made public for other users as part of the service, subject to the applicable settings and event configuration.
Data processors acting on our behalf
We use service providers that process personal data on our behalf, for example providers of hosting and cloud infrastructure, analytics, communications, customer support, security, software development, market research, email and notification delivery and administrative services. They may process personal data only in accordance with our instructions and applicable data-processing agreements.

Transfers of personal data outside the EU/EEA
Some recipients or service providers may be located outside the EU/EEA, including in the United States. Where personal data is transferred to a country that has not been recognised by the European Commission as providing an adequate level of protection, we use an appropriate transfer mechanism, normally the European Commission’s standard contractual clauses, together with supplementary technical and organisational safeguards where required. Where available and applicable, a recipient may instead rely on an adequacy decision, including certification under the EU-U.S. Data Privacy Framework. You may contact us to request further information about the safeguards used for a particular transfer.
10. YOUR RIGHTS
If you wish to exercise your rights in relation to processing of your personal data for which Smoothcomp AB is the data controller, please contact us using the information in Section 2. We may need to verify your identity before acting on a request. Your rights may be subject to conditions and exceptions under applicable law.
Access
You may request confirmation of whether we process personal data about you and, if so, access to that data and information about the processing. You may also request a copy of the personal data undergoing processing.
Object to certain processing
You may object, for reasons relating to your particular situation, to processing based on legitimate interests. You may object at any time to processing for direct marketing, including related profiling.
Rectification
You may request correction of inaccurate personal data and completion of incomplete personal data. You can update certain information directly in your Smoothcomp account.
Erasure
You may request erasure of personal data in certain circumstances. Some information may need to be retained for legal obligations, security, disputes or the integrity of historical competition records. If you delete your account, historical results and statistics may remain in anonymised form.
Restriction of processing
You may request that we restrict processing in certain circumstances, for example while the accuracy of information or an objection is being assessed.
Withdrawal of consent
Where processing is based on consent, you may withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal. You can manage relevant preferences in your account, cookie settings, app or device settings.
Data portability
You may request to receive personal data that you provided to us in a structured, commonly used and machine-readable format, and to have it transmitted to another controller where technically feasible, where the processing is based on consent or contract and carried out by automated means.
Complaint to a supervisory authority
You have the right to lodge a complaint with a data protection supervisory authority. In Sweden, the supervisory authority is Integritetsskyddsmyndigheten (IMY), www.imy.se.
11. UPDATES
Smoothcomp may change or update this privacy notice from time to time. The latest version is available at https://smoothcomp.com/en/privacypolicy. If a change materially affects processing based on your consent, we will provide appropriate information and, where required, request renewed consent.
